When your fax system receives incoming faxes they are
placed in one general mailbox or routed directly to individual user mailboxes.
The faxes placed in the general mailbox must be manually routed to the
individual mailboxes on the Network. To forward faxes to individual mailboxes
automatically, you need DID software and hardware in addition to the FaxFacts
FaxMail application. FaxFacts FaxMail reduces costs associated with faxing,
like paper, fax machine usage, and employee time spent managing fax activity.
FaxFacts' FaxMail with Direct Inward Dial (DID) delivers faxes to individual
mailboxes. FaxMail with DID requires special integration with your telephone
system, FaxFacts software configured for DID, and a trunk of DID phone lines
from your local telephone company. DID phone lines are inbound only and enable
a minimum number of phone lines to handle thousands of incoming calls.
FaxFacts FaxMail with DID can route faxes to Exchange mailboxes. The fax is
initially directed to FaxMail, where a post-process forwards the fax as an
attachment into a specified mailbox. The FaxFacts Viewer is automatically
launched to display the fax when the fax icon in Exchange is selected.
Inbound fax routing can also be accomplished with OCR software. This
involves using special forms as the first page of a fax so the fax machine can
"read" the last four digits of the fax number and route a fax to that
workstation. OCR requires FaxFacts as well as special character recognition
software (Cardiff TELEForm).
FaxMail with DID can also incorporate Copia's Interactive Voice Response
(IVR). Call in from a remote location to retrieve faxes and FaxMail's IVR will
issue a voice prompt for your password and the fax number where you want faxes
printed. Replies are entered numerically to the telephone keypad.
Dual-Tone Multi-Frequency (DTMF) Automatic Routing is accomplished by
assigning an additional 4-digit extension to each mailbox on a network. When a
fax is sent, the caller enters the 4-digit extension after the fax line answers
and then the fax is routed to the appropriate workstation. Voice-Assisted DTMF
includes a voice message prompting the caller to enter the four-digit extension
that routes the fax.
