Copia has combined the popular X/Mail extensions for Exchange, FF-Convert
utility, and FF-Web Uility into Enterprise Extensions. Read on to find out more
about each included feature:
| X/Mail extensions for Exchange |

The FaxFacts X/Mail extensions for Exchange are
designed to serve as a universal outbox for messages routed to persons or
groups of persons listed in the Exchange address books and Outlook contacts
list. Internet and enterprise e-mail is supported transparently using existing
Exchange services.
Most fax servers that integrate with Exchange are implemented as connectors
or gateways on the Exchange server. Gateways and connectors are used to send
and receive "foreign mail", i.e., any message originating or being
delivered outside the Exchange messaging system. That includes fax.
When a message is sent using Exchange, the address type of the message
recipient is used to determine how it will be delivered. Messages sent to
recipients with address types of SMTP are routed over the Internet Mail
Connector. Messages sent to recipients with address types of FAX are routed
over the fax gateway or connector. Each recipient in an Exchange address book
may have only one address type. That means that the Exchange user must have two
address book entries for a person that he communicates with by fax or e-mail.
FaxFacts X/Mail extensions do not use a gateway or connector.
FaxFacts X/Mail extensions extend the standard Exchange client by adding
the capability to deliver messages by fax. There is no need to specify a
separate address type for fax delivery because FaxFacts uses the fax number
ALREADY STORED IN THE ADDRESS BOOK entry. Every address book
entry already has fields for several phone numbers, including fax and pagers.
FaxFacts will use these, if available. Of course, FaxFacts can also use the fax
numbers contained in the FAX address-type entries for those entries already set
up for Microsoft Fax or other fax servers. That means you only need one address
book entry per person no matter how you intend to communicate with them.
FFWEB integrates fax with the World Wide Web by retrieving
web documents and converting them to a faxable format. When teamed with
FaxFacts Fax-on-Demand software, visitors to your web site can easily download
pages to a fax machine. When teamed with FaxFacts Server, pages on a corporate
Intranet can be faxed from any workstation. Because web pages by definition are
dynamic, callers or web visitors are always receiving real-time documents, the
most current information available. Information management becomes easier in
the process because one master database manages web pages and documents stored
in the Fax-on-Demand image catalog.
FFWEB utilities scan web sites, create scripting files that contain the URL
or HTML file name of specific pages, and then automatically allocate a
reference number to each file. When a visitor to a web site or caller to Fax on
Demand chooses a document number, FFWEB cross references it to a URL site,
converts the document to fax format, and delivers it to the keyed fax number.
FaxFacts Server performs the actual transmission. Documents are automatically
paginated and colors are replaced with grays and black. If FaxFacts is running
on the same network as a web server, FFWEB's search engine retrieves HTML
documents from the local fileserver. Otherwise, it retrieves pages from the
World Wide Web using the URL (Uniform Resource Locator). Frequently requested
web documents can be "pre-converted" to fax format and cataloged so
they are available to callers more quickly. If you publish this catalog as a
menu choice on your Fax-on-Demand system, callers can easily locate the
documents they need by phone.
Corporate Intranets can employ FFWEB to keep corporate documents easily
accessible to employees for their own use or to fax to clients or support
personnel. When FFWEB is used in this way, a permanent Internet connection is
not required.
With FFWEB you can also create a form, on a web page, where visitors can
request documents from your Fax-on-Demand catalog by entering their name,
choosing a document number, and a fax number. These requests are processed by
FaxFacts Server, which provides cover sheets and addresses all aspects of
transmitting the fax.
FFWEB requires FaxFacts Fax-on-Demand or FaxFacts Server to operate. It is
designed to run on a Windows NT or windows 2000 operating system.
Implementation of FFWEB is easy, but administration does require someone
familiar with Web/HTML issues.
