Extensions for Exchange that are designed to serve as a universal
outbox for messages

X/Mail extensions for Exchange are designed to serve as a universal
outbox for messages routed to persons or groups of persons listed
in the Exchange address books. Internet and enterprise e-mail is
supported transparently using existing Exchange services.
Most fax servers that integrate with Exchange are implemented
as connectors or gateways on the Exchange server. Gateways and connectors
are used to send and receive "foreign mail", i.e., any
message originating or being delivered outside the Exchange messaging
system. That includes fax.
When a message is sent using Exchange, the address
type of the message recipient is used to determine how it will be
delivered. Messages sent to recipients with address types of SMTP
are routed over the Internet Mail Connector. Message sent to recipients
with address types of FAX are routed over the fax gateway or connector.
Each recipient in an Exchange address book may have only one address
type. That means that the Exchange user must have two address book
entries for a person that he communicates with by fax or e-mail.
FaxFacts X/Mail extensions do not use a gateway
or connector. In fact they do not even require Exchange Server so
they will run in stand-alone Exchange Settings or in small networks
using Microsoft Mail. FaxFacts X/Mail extensions extend
the standard Exchange client by adding the capability to deliver
messages by e-mail or fax. There is no need to specify a separate
address type for fax delivery because FaxFacts uses the fax
number ALREADY STORED IN THE ADDRESS BOOK entry. Every address book
entry already has fields for several phone numbers, including fax
and pagers. FaxFacts will use these, if available. Of course,
FaxFacts can also use the fax numbers contained in the FAX
address type entries for those entries already set up for Microsoft
Fax or other fax servers. That means you only need one address book
entry per person no matter how you intend to communicate with them.
After you have composed your message using Exchange
and selected the people you want to deliver the message to, you
can choose how you want to send the message - e-mail only, fax only,
custom which allows multiple delivery methods, or normal (using
the Exchange send button). The normal delivery method attempts to
deliver the message by fax or e-mail depending upon your order of
preference and whether or not the necessary fax number or e-mail
address is in the address book entry for the recipient.
Since FaxFacts X/Mail extensions are integrated
with the Exchange client they are also available through the Send
menu item of Microsoft Office applications. They may also be available
through the Send option on other Windows applications depending
upon how it was implemented.
Any messages that will be routed through FaxFacts
are first placed in a FaxFacts mailbox. A back-end process
monitors this mailbox and converts the messages and attachments
to fax before handing them off to the FaxFacts server. Since
fax messages are processed through a mailbox, the FaxFacts
server can be located at any site within the organization that is
connected to other sites by Exchange site connectors. This method
also makes it possible to receive e-mail over the Internet and have
it faxed from the FaxFacts server.
