Outbound Fax/E-Mail Status Viewer

EMSTATUS

This program is a special version of STATUS for use at sites where outbound fax traffic originates from incoming e-mails to the Copia SMTP Gateway from users within your organization.  It allows viewing of transactions filtered on one or more e-mail addresses specific to each user, and prevents viewing of any other user's transactions.

EMSTATUS differs from STATUS in the following ways:

•EMSTATUS has no 'administrator mode' to allow viewing transactions from all users.

•EMSTATUS requires a CopiaFacts license option for the CopiaFacts SMTP Gateway.

•EMSTATUS can only view fax transactions for specific originating e-mail addresses, and e-mail transactions sent by CopiaFacts to the same specific e-mail addresses.

•An EMSTATUS.XLSX file is required, containing details of the e-mail address or addresses for which transactions can be viewed by each login user name.

•EMSTATUS is only installed by the CopiaFacts Server installer (on the assumption that the CopiaFacts client software will not be in use) and must be configured by your system administrator for use by client users.

The EMSTATUS.XLSX control file

This file must reside in a folder named EMSTATUS in the main FAXFACTS folder.  You may optionally disable write access in this folder to prevent editing of substitution of this file by other than an administrator.  Only the first worksheet in the file will be used.

If cell A1 in the file contains 'LOGIN' then row 1 will be treated as a header row.  The list is terminated on the first empty cell in column A.  The columns are used as follows:

Column AShould contain the user login name for each permitted user of EMSTATUS.  This is assumed to be the Citrix login name if Terminal Services is in use, or otherwise the Windows login name.
Column BThe first or only e-mail address for which the user may view transactions.  An e-mail address should be an undecorated format user@domain, with no additional name or comment elements.
Columns C, D, E, etc.Any additional e-mail addresses for which the user may view transactions. An empty cell on the row terminates the list for the user.

It is recommended that the administrator who maintains this file should disable automatic internet links (uncheck Excel Options / Proofing / Autocorrect Options / Internet and network paths with hyperlinks).  This makes it easier to enter and edit e-mail addresses in the spreadsheet without activating the links.

The control file will be read by EMSTATUS on startup, and its absence prevents the program from starting.  If you change the entry for a user, it will be necessary for the user to restart EMSTATUS to access the changed entry.

It is not necessary for Excel to be installed on the machines running EMSEUP.

Using EMSTATUS

The e-mail address(es) accessible to the user will appear in the 'E-Mail' box at the top of the Window, allowing the transactions for one e-mail address at a time to be selected.  (This box is labeled 'Sender' in the STATUS program).

EMSTATUS will display only:

•Transactions where the FS file contains a variable SMTP_SENDER_EMAIL (generated by the CopiaFacts SMTP Gateway) and the value of the variable matches the selected e-mail address. The displayed columns must include the Sender column to enable these items.

•E-Mail transactions where the destination in the FS file matches the selected e-mail address.  These will include transactions reporting the fax result to the originator. The displayed columns must include the Recipient column to enable these items.

These transactions may be viewed, edited, re-submitted and managed as in the STATUS program.
